ITAS to ITAP Sponsored by Indonesian Spouse , how I did it

1) Registered the Indonesian spouse's account & contacted my local Kantor Imigrasi to ask about the required documents + sample of : Surat Permohonan , Surat Integrasi , and Surat Pernyataan dan Jaminan (I did it through Whatsapp written messages) .

2) Login , and selected "SERVICES" (or "MY APLICATION" after the first time) ,

3) In "STAY PERMIT" selected "Find Existing Stay Permit" in my first time (second time and on , selected "Apply") ,

4) At the right side of the ITAS data , selected : "Action" (in green color) , then "Conversion" ,

5) Selected "Conversion of ITAS to ITAP" , "General, Family, or Social" , "Family Dependent", "Spouse of Indonesian Citizen" , "Detail & Apply", "Apply", "Next" ,

6) Uploaded : passport + photo then selected "Next"
Photo max. size 2MB , PDF max. size 5MB

7) Uploaded "Proof of Guarantee from Guarantor" + "Marriage Certificate" + typed other personal data ,

Notes :
  • After some unsuccessful tries I included the 62 code and remove the '0' of the phone number
  • If you are in a hurry to finish this process , instead of uploading what the system asks , upload a single PDF with all required documents in a place of one of the requested documents .

8) At the Stay Permit data page , clicked at "Register number" of the new requested process , a new page appeared with the payment instruction ,

Note : At this time the system also asked us to go to Kantor Imigrasi for taking photo , I asked and a officer told me to ignore it .

9) Around a week after paying , Immigration asked us (in the evisa + email) to merge all the required documents in a single PDF and in this order : 1. Application letter; 2. Sponsorship letter ; 3. sponsor’s KTP/KK/birth certificate; 4. marriage certificate and Embassy's 'Non Impediment to Marry' or foreign marriage certificate and Indonesian foreign marriage registration letter issued by Capil; 5. ITAS; 6. passport biometric page; 7. Certificate of Domicile or SKTT ; 8. Letter issued by KUA or Capil stating that the applicant and the Indonesian spouse are still married; and 9. Integration Statement (max 5 MB) ,

Note : Evisa website continue to not having a specific place to upload this single PDF , so I choose one of the 2 places to upload it .

10) After around 10 days we received an email asking us to come to the local Kantor Imigrasi (3 working days later) for 'biometric photo capture, an interview, and verification of original documents' .

Note : I asked and Immigration told me to bring the sponsor too , but this may be because when we arrived there , an officer asked us to access the sponsor's account to include a word "Home" that was missing in the address . At Kantor Imigrasi basically it was only to take the photo , the photographer himself quickly checked our original documents and asked me (not my sponsor/wife) 2 or 3 irrelevant questions (everything in around 5 minutes) .

11- After around 10 days later the process finished . The process' "Status" in the evisa's account changed to "TERBIT" and I got a copy of the 5 years ITAP & Re-Entry Permit by clicking "ITAP" and "IMK" in the "Action" column .

How I prepared the documents :

A) The proof that you are still married and live together :
I made a Surat Pernyataan/Statement Letter (stating "Saya tinggal bersama istri Ibu ... di alamat tersebut di atas") signed by RT & RW , brought it to the Kantor Kelurahan , they made a Surat Keterangan/Information Letter which I brought to KUA/Marriage Office that made the final "Surat Keterangan" stating we are still married and living together .

B) My & my wife's photos + photos of some documents we took with our cellphone .

C) All required documents I made in photo format or PDF .

D) To downsize most of them , I used :
a) the native computer's operating system photo app , +
b) website's "SHRINK PDF" (https://shrinkpdf.com/) , which can shrink photos too .

E) To put all the required documents (fotos + PDFs) in a single PDF , I downloaded/used a Linux app (because I use Linux OP) named "PDF Arranger" . Later I found a website based app named "Merge PDF" (https://tools.pdf24.org/en/merge-pdf) which does it too .

If you refer to what you wrote in post no.62 : "... About this ‘garantor’ section; the first is the field you have to use to upload all the documents that are not specifically asked for but which you need to provide anyway ..."

I probably did read your post but I didn't remembered it .

Remembering your post would not be important to me , as I succeeded doing it intuitively .

I just uploaded it in one of the 2 available places (even not being the theoretical correct place) , without thinking much .
I assumed it would be irrelevant to Immigration to miss any one of the 2 documents which was supposed to be uploaded in the place I used for uploading the "complete PDF" because this same document was also together the 11 others included in the "complete PDF" (submission of repeated documents , more than what were requested) .
Note : "complete PDF" = single PDF containing all 12 required documents

In the worst case , Immigration would ask me to do it again differently . No problem , as I already paid before the time limit and the Regulation states that in my situation I don't have to pay overstay's fine if the approval is delayed to after my ITAS expires .

The required documents' list is in the local Immigration's original message below (its version with a little different wording is at item 9 of my first post above) . See the letters' sample below too .

But all these are from Bandung's Kantor Imigrasi , so if you live elsewhere it is better to ask your local Kantor Imigrasi (they probably use Whatsapp/written messages for that too , so no need to go there) . Sometimes a local Immigration introduces something different .

Please merge and attach the required documents in this order: 1. Application letter to Bandung Immigration Office signed by the Indonesian spouse; 2. Sponsorship letter with a stamp duty attached to it signed by the Indonesian spouse; 3. Scan of sponsor’s ID card (KTP), family card, and birth certificate; 4. Scan of marriage book/certificate and affidavit of marriage issued by the embassy (if the marriage takes place in Indonesia) or Scan of marriage certificate and foreign marriage registration letter issued by the Indonesia Civil Registry Service Office (if the marriage takes place abroad) 5. Scan of ITAS; 6. Scan of passport biometric page; 7. Certificate of Domicile or SKTT (Surat Keterangan Tempat Tinggal); 8. Letter issued by the Indonesia Civil Registry Service Officestating that the applicant and the Indonesian spouse are still married; and 9. Integration Statement. Merge these documents into one pdf file before uploading it and make sure the file is not more than 5 MB in size.

Hi Marcus, great tutorial and very detailed, unfortunately when I got to the green action button on the right, the only choices were, change data - Guarantor and Bridging Stay Permit, would appreciate any assistance

I don't know , but I am sure your local Kantor Imigrasi can solve the problem . In our city , Immigration installed a computer (with internet connection) in the front desk , but if you have a laptop it would be better if you bring with you .

As it is closed for the next 3 days , you can :
  • try both through "SERVICES" + "Apply" and "MY APLICATION" + "Staypermit" ;
  • be sure it is the sponsor's account (not the ITAS holder's account) .

After you found your KITAP, click again on "MY APPLICATION" > STAY PERMIT (sub section). Your KITAP should still appear, but now with additional options under "Action" (Extend, Conversion, Change Data, Bridging Stay Permit, Exit Permit Only, ..)
 
I thought I would UPDATE you on my issuse which I wrote about previously in this thread,Finally after 3 months of emails and visit to Immigration office in South Jakarta we got the my KITAS linked to my wifes account,
First we went to Kantor immigrasi Jaksel and they gave us a sample letter my wife had rto complete and an an email adress to send to at main office Kuningan,, 2 weeks later we get reply with another email attache and told to send it to that email address, we did that and got no reply, wife sent email every week for the last 2 + months, no response, finally we went to Head office in Kuningan yesterday, (hard place to get into), Satpam took us to a small annex to the left of the main office where BNI bank is and there is a row of desks with immigration staff, (not in uniform), who were very nice and sorted the problem in 30 minutes, what they did was cut off agents access to the account, which they had full control off but ws in my wifes name and reassigned it to my wife by opening her a new sponsors account using another email address my wife has.
They said no need for agents anymore and if we have any further problems then to go straight back to them for assistance,
we now have full control of my ITAS and we will start the conversion process to KITAP in the next few days .
We appreciate all the help from this Forum and Marcus, especially for your step by step walk thru on how to convert KITAS to KITAP, we will following that over the next few days

Could you tell us what was the name and purpose of the letter they asked your wife to send to them , and about the meeting with the Immigration officers , did their solution depend on this letter or not ?

Most likely a simple request letter, something like:
Surat Permohonan Pengkinian Data Akun Imigrasi, or
Surat Permohonan Perubahan Data
etc.

Your (sponsor's) personal data & signature on the letter provides the paper trail and documentation for the Immigration officer to change the email address or other system data on your account. It also prevents that an unauthorized third party is meddling with your accounts.

I could imagine that it works without the letter if you deal
  • with someone in person = can proof in person that you are the account holder
  • with someone senior (or sloppy) enough to not being concerned of doing this without having a paper trail as back-up if ever someone asked later why the change was done ;-)

Marcus, The letter was as Mas_am said in his post, luckily my wife took the original letter she emailed with here yesterday along with all of our documents, Kitas, Pasport, wife's KTP etc, as they also wanted photocopies of those along with the letter which was signed over a 10,000rp meteria, honetsly I was not expecting to get the issue resolved yetserday, especially as we did not get to actuallyenter the Main Immigration building but as mentioned the staff were great and very helpful,..

am now in the process of getting my documents together to apply for conversion to ITAP, ITAS is valid until 26 Feb 2026 but better early than late

will post and let you know how that goes

Hi Guys, Update on my ITAP Application,..

Just submitted all my documents but the immigration Site asked me to upload all my documents, less my marriage certificate on No.1 and marriage Certificate on No. 2.
when I pressed save it went immediatly to the front page and showed as pending conversion and it has NOt asked me to pay, do they send an email to sponsor tfor payment or what?, an a bit confused here

EDIT : Wife just received an email to make payment within the next week, will try now and pay thru online banking

I finished the conversion before the end of my ITAS , so Immigration made my ITAP start before the end of the ITAS . The earlier you do it , the more ITAS time you end up losing .
 
Update on ITAS TO ITAP application,

so I received an email to go to kanto immigrasi and get my Photo take, (within 3 days) but I went this morning as I live close to there,
2 minutes in and out with Photo only and NO finger prints, whilst I was there the Officer checked my application and there are some documents that need to be changed and to expect an email today, when I got home email already in my inbox and it looks like I have to rewrite and re submit application letter, sponsors letter and there is another letter called Ältus KITAS ke KItap"that need sto be submitted and they also list documents to be submitted, (see extract from immigration email

Have no prcessed new letters as per Immigrasi samples, wifey has signed off after checking and will resubmit documents as per email below
